When you send an email, having a good signature will make you appear considerably more professional. It’s also a terrific method to deliver all of your contact information to email recipients without having to type it every time you send an email.

In Outlook for Desktop, how can you change your signature?
If you want your signature to appear at the bottom of your emails automatically, you’ll need to create it once. Then paste it into the part of Outlook’s settings that makes the signature appear in the footer of every email you send.
- To begin, open Outlook on your desktop and pick File from the File menu.
- Choose your options.
- Select Mail from the navigation pane in the Outlook Options box.
- To access the Signatures setup panel, click the Signatures button.
- To make a new signature, go to the Signatures and Stationery box and click New. Give the signature a meaningful title. You can make as many signatures as you want. Create one for personal emails and another for work emails, for example.
- You can use a simple editing tool in the edit window to create your email. You can use any font style you like with this tool, and you can even insert photographs into your signature if you want.
- Use the New messages or Replies/Forwards messages drop-down choices in the Choose default signature section to choose whether this signature will be used for new messages when you reply to or forward a message or both.
- When you’re finished, click OK to save your new signature.
Changing an Email Message’s Signature
When you send a new email, the signature you set as default will appear at the bottom of the message.
By selecting Message from the menu, Signature from the Include area of the ribbon, and your desired signature from the dropdown list, you can change the signature used in the email at any time.
The bottom of the email’s signature will change automatically. While updating the email, you can modify the signature whenever you like.
How to Change Your Outlook Signature
If you already have signatures set up in Outlook, editing them is just like establishing new ones.
There are two options for accomplishing this.
- Select Messages from the menu while editing an email, and then Signature from the Include area of the ribbon. From the dropdown menu, choose Signatures.
- Using the same method as before, you may go to the Signatures window. Simply select the signature you want to alter from the Select signature to edit pane, regardless of how you got to the Signatures window. The signature can be edited in the editor pane at the bottom of the window.
- When you’re finished, click OK to finish modifying and save your signature changes.
How to Change Your Outlook Signature for Mobile
The Outlook Mobile app has a similar interface to the desktop software for creating and modifying email signatures, although the editor is significantly more limited.
In Outlook for mobile, follow these steps to add or edit your email signature:
- Tap the menu icon in the upper left corner of the window to open the Outlook app. In the menu, select the gear symbol (this will open the Settings menu).
- Scroll down to the Mail section of the Settings menu and tap Signature.
- Using the on-screen keyboard, you can generate a rudimentary signature in the Signature window.
- To save your signature, tap Done in the upper right corner of the screen. When you open a new email message to send, the signature will now appear automatically at the bottom of the message.
- You can set up a different signature for each of your email accounts if you have more than one. Depending on the account you’re using, the signature will show automatically.
Using Outlook Signatures
Not all email applications do a good job of allowing users to attach signatures to their emails. Signatures are simple to create and use in Outlook on both mobile and desktop.
